What is the Volunteer Requirement?

Each family is required to complete four (4) volunteer slots at the weekly swim meets and one (1) slot at Championships. Click here for descriptions.

Why did I have to write a separate check for $150?

While most families involved in the swim team either meet or exceed the volunteer requirement, there are always a few families who either do not volunteer at all or who do not meet the requirement.  The check provides them with a financial motivation to meet the requirement which makes it more equitable for all families on the team.

I noticed that families with only pee-wee swimmers do not have to volunteer at the meets, why is that?  Families with only pee-wee swimmers will most likely not be swimming in the meet.  We do offer a pee-wee kick board race at home events only but since this happens before the meet even starts, it is not a requirement for these families to volunteer.  If they have other children that are on the regular team, then they are required to volunteer.  This exception is for families that ONLY have pee-wee swimmers.

When will I get my check back?

The volunteer checks are NOT cashed without notifying you first.  For those families who meet the requirement, the checks will be distributed after Championships and will be placed in your family's ribbon folder.

I can not attend all of the swim meets, what are my options to complete the requirement?

The meet is broken down into two halves and most volunteer positions  consist of volunteering for one half.  The only exception is Age Group Parent which extends past the half way point in the meet.  Therefore, it is possible to volunteer for both halves of the meet and complete two volunteer slots at one meet.  In addition, there is set up and clean up before and after the meets and each of these also equates to one slot.  This means that it is possible to set up, volunteer for both halves of the meet and then help with clean up and meet all four requirements at one event.  The advantage of being age group parent is that you will not miss any of your child's swimming events as your main responsibility is to get your age group from the waiting area to Clerk of Course.

Does it matter which parent/guardian volunteers?

No, parents, grandparents and teenagers over the age of 15 can assist.

Does my swimmer have to be at the meet for me to volunteer? 

No! You can volunteer and earn credit even if your swimmer is not attending the meet.

What should I do if plans have changed and suddenly I'm available to help out?

If the meet is still 24-48 hours away, you can adjust your volunteering position via Sign Up Genius. If you have a last minute change, please contact the Team Board.

We will not be able to attend Championships but I met my four requirements, will be my check be cashed?

No, the requirement to volunteer for Championships is ONLY for those families who attend.  If your child does not swim at championships then you are not required to volunteer.

What if the meet gets rained out or cancelled, do I have to make up that slot?

If the meet is cancelled after it has started and you are signed it, then you will get credit for the slot.  If the meet is cancelled before you have even arrived, then you will be required to make up that slot.  Basically, we will give you credit for attempting to meet your obligation and showing up on time.

We are only attending one meet this season. Do I still have to volunteer for all required shifts?

Yes! We need your help, both during the meets and in supportive roles to keep the team and season thriving. Reach out to the volunteer coordinator for additional jobs outside the meet or ways to complete your volunteer shifts.

What do I do the day of the swim meet if I sign up for a job?

The day of the meet, go to the check in table and find the volunteer coordinator prior to the meet start, verify that you understand your role and shift time, and then be prepared to work.

The team has over 80 families, how do you keep track of whether I have met the requirement?

It is YOUR responsibility to sign in with the volunteer coordinator when you arrive at the meet.  We have 30-40 positions that have to be filled at each meet and the board may not remember who was there without accurate records.  We will use the sign in sheets to keep a spreadsheet during the season.  Do not just tell someone that you are there - SIGN IN - to make sure you get credit.

I think I have met my requirement but do not know for sure, will you notify me before cashing my check?

Yes.  After the 3rd meet, we will compare our spreadsheet to the volunteer list for meet 4 and 5 - if we find families who have either not met their requirement or who are not signed up for one of the last two meets, we will notify those families individually and make every effort to work with you so that you can meet the requirement.

I can't volunteer due to my family situation, (children's ages, traveling spouse, work requirements) can my child still be on the team?

Absolutely.  While we encourage all families to volunteer, we understand that there are some cases in which it is just impossible to fulfill this obligation.  On your check, simply write OPT-OUT in the memo line, and we will cash your $150 check at the beginning of the season and use these funds to hire teenagers to take your volunteer slots as needed.
